Postage - Posting Orders Without A Tracking Number - Shipping Post Letters, Late Shipment Rate, Defect Rate

When posting items that can be sent as a letter instead of a parcel, you need to weigh up what the costs will be if the item goes missing vs paying for tracking.

As a seller you're responsible for the goods until they are delivered safely, which means if the post office accidentally deliver it to the wrong address or loose the letter, you will have to refund or replace the order.

If replacing the rare order that goes missing will cost you less than loosing sales for increasing the postage to a satchel, then it's ok to send it as a letter without tracking.

The good news is that the 5x star DSR (detailed seller ratings) no longer count towards a sellers defect rate, however you could be affected by the Late Shipment Rate if your buyers say their item didn't arrive by the estimated delivery day. (search 'late shipments' in the Knowledge Base for more info)

The only way to 100% safely avoid 'Late Shipment Defect Rates' is to print postage labels directly in your ebay 'Sold' area and get them to the post office within your nominated handling time. (The time between receiving a payment and delivering the package to the postal carrier)

However you can request to have a 'Late Shipment Defect Rate' removed manually from ebay if you do receive one by using any other courier and can show online tracking evidence that proves you posted the parcel within your stated handling time.

We recommend checking your Seller Dashboard at least once a month to see if you are receiving 'Late Shipment Defect Rates' where you can download a report showing which items resulted in defects, then contact ebay with the online tracking evidence ready to request a defect removal which they often can remove.

The best way to avoid this is to include a thank-you note with all your orders, requesting positive feedback & 5x stars and explaining you post all orders out the same day payment clears to ensure they arrive as soon as possible!
